Privacy policy

Who is responsible for your information

MotorOffer is a trading name of Micheala Mowlam, who operates as a sole trader. MotorOffer is not a limited company.

Micheala Mowlam is the controller of personal information collected for MotorOffer's vehicle enquiries. For questions about this policy or to exercise your data protection rights, email offers@motoroffer.co.uk.

Information you provide

When you make a vehicle enquiry, we collect the information you enter:

  • Vehicle registration, postcode and mileage.
  • Make and model where supplied; these are entered by you, not automatically retrieved from a vehicle database.
  • Vehicle condition and optional condition notes, service history, MOT status and expiry date if known.
  • Outstanding finance status and an approximate settlement figure if supplied.
  • Additional information or customer notes and any vehicle photographs you upload.
  • Your full name, mobile number and email address.

A completed enquiry also records an enquiry ID and reference, date and time received, enquiry status and the time you confirmed that we may use your details to review your vehicle and contact you.

Photographs are optional. Please avoid including people, identity documents, bank details or unrelated personal information in your photos or notes. We also receive information you choose to send when contacting us by email, including complaints or privacy requests.

Why we use your information and our lawful bases

  • Assessing your vehicle and responding to your enquiry: we use vehicle details, photographs, postcode and contact details to review your vehicle, discuss relevant information and contact you about a possible purchase. Where you are asking us to take steps towards a sale of your vehicle, the lawful basis is taking steps at your request before entering a contract.
  • Managing enquiries and correspondence: we use enquiry references, statuses and correspondence to keep track of enquiries, investigate issues and handle complaints. Our lawful basis is our legitimate interest in running the business and dealing with enquiries fairly and effectively. This also applies where an enquiry is made by someone acting for the vehicle owner.
  • Security and troubleshooting: technical information and error records may be processed to protect the website and investigate failures, based on our legitimate interest in keeping the service secure and reliable.
  • Legal requirements: where a specific legal obligation requires us to keep or disclose information, we rely on compliance with that legal obligation.

The form's confirmation checkbox relates to reviewing your vehicle and contacting you about it. It is not a marketing subscription, and it does not mean that all processing relies on consent. The current enquiry flow does not send an automatic customer confirmation email.

Required information is needed to submit and assess an enquiry. Optional information can be left out. No automatic valuation or automated purchase decision is made by this website; enquiries are reviewed by MotorOffer.

How enquiries and photographs are stored

Completed enquiries are saved in MotorOffer's Lovable Cloud database. Photographs are uploaded to private cloud storage; the database records their file references. The public website does not allow visitors to read stored enquiries or view private photographs. Uploads use time-limited permissions for the relevant enquiry folder.

Photos are uploaded when you add them, before final submission. This means uploaded files may remain in private storage if you abandon the enquiry or remove a photo from the form. Removing a preview from the form is not a request to delete an already uploaded file; contact us if you need help with deletion.

After an enquiry is saved, an internal notification containing the enquiry details and photo count is sent to offers@motoroffer.co.uk using Lovable's email service. Original photographs are not attached and no public photo links are included. An internal email failure does not remove the saved enquiry.

Access to enquiry records, private photographs and notification emails is intended for authorised people handling MotorOffer enquiries. Please do not email sensitive documents unless an appropriate process has been agreed.

Service providers and other recipients

We use Lovable Cloud for the website's enquiry database and private photograph storage, Lovable's email delivery service for internal alerts, and the email service supporting MotorOffer's contact mailbox for correspondence. These services process information to provide hosting, storage, delivery and operational support.

The website also loads fonts from Google Fonts. Your browser connects to Google to request those fonts, which exposes technical request information such as your IP address and browser information. See Google's Privacy Policy for its handling of those requests.

Information may also need to be disclosed where required by law or where necessary to establish, exercise or defend legal claims. Contact offers@motoroffer.co.uk if you need information about service providers or any applicable processing outside the UK.

Retention and deletion

Vehicle enquiries and associated customer information are retained for up to 24 months after the last meaningful interaction, unless longer retention is reasonably required for a completed transaction, a legal obligation or a dispute.

Unsuccessful or abandoned enquiry data is deleted when it is no longer reasonably required. Abandoned or unattached photo uploads are removed as soon as reasonably practicable and are not retained indefinitely. Photographs associated with a valid enquiry follow the enquiry retention period, unless they are no longer required sooner.

Copies of internal enquiry notification emails may remain subject to the retention and deletion settings of our mailbox provider. Provider backups and operational logs may follow separate retention arrangements.

You can request access to, correction of or deletion of your information, where applicable, by emailing offers@motoroffer.co.uk. Deletion is not an absolute right: information may need to be kept where a lawful reason applies. We will explain any relevant reason if we cannot fulfil your request.

Your data protection rights

Depending on the circumstances and lawful basis, you have the right to:

  • Request access to your personal information and a copy of it.
  • Ask for inaccurate information to be corrected or incomplete information completed.
  • Request erasure or restriction of processing.
  • Object to processing based on legitimate interests.
  • Receive information you provided in a portable format where the right to data portability applies.
  • Withdraw consent for any processing that actually relies on consent, without affecting its lawfulness before withdrawal.

Email offers@motoroffer.co.uk with your request and your enquiry reference if you have one. We may need proportionate information to verify your identity before disclosing or changing personal data. Requests are normally handled within one month, subject to lawful extensions or other applicable exceptions. This is a data protection timescale, not a promised response time for vehicle enquiries.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator. See ico.org.uk/make-a-complaint. You can contact MotorOffer first if you would like us to investigate, but you do not have to do so to exercise your rights.

Our Cookie Policy explains the browser storage used during the enquiry journey. This policy may be updated when the service or information handling changes.
